Terms & Conditions

These Terms govern your use of our services and are governed by the laws of England and Wales.

By booking via Momence, purchasing a membership or class pack, or attending any class at Reform Room, you confirm your agreement to these Terms.

1. Memberships

1.1 Minimum Term

1.1.1 Studio memberships run for a 3-month minimum commitment.

1.1.2 Early termination is not permitted during this initial period.

1.1.3 After the initial 3 months, memberships renew monthly until cancelled.

1.2 Cancelling a Membership

1.2.1 You may cancel your membership after 3 months by providing 30 days’ written notice (see Section 5).

1.2.2 Notice must be emailed to hello@thereformroom.co.uk.

2. Booking Studio Classes

2.1 Booking Methods

2.1.1 Class bookings may be made via the Momence app, our website, or in person.

2.2 Pricing

2.2.1 Prices for classes, class packs, and memberships are clearly displayed at the time of booking.

3. Changing or Cancelling Bookings

3.1 Class Cancellations

3.1.1 Cancellations must be made at least 12 hours before the scheduled class start time.

3.2 Late Cancellations & No-Shows

3.2.1 Late cancellations or no-shows may result in:

  • loss of the class credit, or
  • a late-cancellation fee for members.

3.3 How to Cancel

3.3.1 You may cancel:

  • via our website
  • through the Momence app
  • by emailing hello@thereformroom.co.uk

4. If We Cancel a Class

4.1 If we cancel a class, we will notify you as soon as possible.

4.2 Any used or lost class credit will be re-credited to your account.

5. Booking Confirmation

5.1 You must receive a booking confirmation from Momence before attending any class or session.

6. Lateness Policy

6.1 For health and safety reasons, late entry is not permitted.

6.2 If you arrive more than 5 minutes after the class has started, you will not be allowed to enter and the session will not be refunded or credited.

7. Studio Liability

7.1 Reform Room is only responsible for foreseeable losses caused by our negligence.

7.2 We do not exclude liability for death or personal injury caused by our negligence.

7.3 You are responsible for ensuring that you are medically fit to participate in Pilates sessions.

8. Fee Changes

8.1 Membership fees, class pack pricing, and drop-in rates are subject to change after the initial minimum term.

8.2 You will be notified in advance of any price changes that affect an active membership.

9. Promotional Purchases & Offers

9.1 Promotional credits, introductory offers, and limited-time packages are non-refundable and may be class-type specific.

9.2 We may withdraw or modify promotions at any time.

9.3 Misuse of promotions, including multiple account creation, may result in account suspension or booking cancellation.

10. Membership Payments

10.1 Membership fees are collected monthly through the Momence payment system, via card or direct debit (depending on your setup).

10.2 Payments are taken on the same date each month unless otherwise specified during sign-up.

11. Membership Non-Payment

11.1 Access to classes may be restricted if membership payments are overdue.

11.2 Repeated missed payments may result in suspension or termination of your membership.

12. Membership Cancellations & Freezes

12.1 You may cancel after the initial 3-month term by giving 30 days’ notice in writing or via Momence.

12.2 Members are permitted one freeze per 12-month period, with freezes lasting a minimum of 1 week and a maximum of 6 weeks.

12.3 Freezes are not permitted during the first 3 months of membership.

13. Class Packs

13.1 Class packs are valid until the expiration date clearly displayed at purchase.

13.2 They are non-transferable and non-refundable.

13.3 Extensions may be granted only in exceptional circumstances and at our discretion.

14. Promotional Offers & Discounts

14.1 Promotions may be subject to separate terms and conditions.

14.2 We reserve the right to cancel, modify, or withdraw offers at any time.

14.3 Misuse of promotions (e.g., creating multiple accounts) may result in refusal of service or account restrictions.
